What is an AI agent and what can it do for your business?

By Angel Bastardo · CoGrowth · · 5 min read

Short answerAn AI agent is an assistant that understands messages written the way people write them, looks up information and takes actions following your company's rules. For example: it replies to a customer on WhatsApp, checks availability and books the appointment.

How it differs from an old-school chatbot

Traditional chatbots ran on menus: “type 1 for sales, 2 for support”. If a customer wrote anything off script, the bot got lost. An AI agent understands the question even when it's badly written or comes with context, and decides what to do with it.

The other big difference is that an agent acts. It doesn't just answer: it can check your inventory, create a contact in your CRM, book on your calendar or alert someone on your team.

How it works, without the jargon

An agent has three parts. The first is a language model, which lets it understand and write. The second is instructions and knowledge: your brand's tone, your prices, your policies and what it can and can't do. The third is tools: connections to your systems so it can take real actions.

When a message arrives, the agent reads it, finds the information it needs, decides the next action and replies. If the conversation goes beyond what it should handle, it hands it to a person.

What it can do in a business

Serve customers at any hour

It answers common questions, prices, opening hours and availability on WhatsApp, Instagram or your website. Customers don't wait until Monday for a reply.

Qualify leads

It talks to every new contact, asks what's needed to tell whether they're a good fit and passes your salesperson only the ones who are ready, with a summary of the conversation.

Book and remind

It checks your calendar, suggests times, confirms the appointment and sends reminders. It's one of the fastest wins for clinics, practices and service businesses.

Help your own team

An internal agent answers from your documents and processes. Your team asks “what's the returns policy?” and gets the answer in seconds.

What an agent shouldn't do alone

A well-designed agent has clear limits. Sensitive decisions, like a large refund or a delicate complaint, should go to a person. That's why at CoGrowth we define with each business what the agent can resolve and when the team steps in.

How to tell if your business needs one

If your team answers the same questions many times a day, if you lose customers because replies take too long, or if appointments are booked by hand over chat, an AI agent will likely save you time from the first week.
